See which AI & SaaS spend deserves a closer look.

Turn a monthly software bill into three decision numbers: annual spend, the amount you want to review, and a scenario for what might be reducible. No benchmark is imposed on you.

Start with one practical questionWhat amount is large enough to justify a real review?

Enter your monthly AI + SaaS spend below. The result updates as you type.

1. Size the review

Use rough numbers first. Precision can come later.

USD · annualized automatically

Subscriptions, AI assistants, automation, analytics and other recurring software.
Not a waste estimate. This is simply the slice worth inspecting.
A scenario inside the reviewed amount, not a promised saving.
Annual AI + SaaS spend$30,000Monthly × 12
Annual spend selected for review$6,000Your chosen review share
Illustrative reducible amount$1,500Your scenario only
Worth a lightweight review

Start with duplicate tools, unused seats and upcoming renewals before adding another subscription.

Review size: $6,000/yr
Important: the reducible amount is produced from your own input, not an estimate by Stratum Praxis. Real savings may be zero, lower or higher and depend on contracts, usage, workflow value, switching costs and implementation choices.

2. Check the seven places waste usually hides

Do not cut software just because usage looks low. Check whether the tool protects revenue, quality, security or a critical workflow first.

Unused subscriptions

Tools with little or no meaningful use.

Duplicate capability

Multiple tools solving the same writing, meeting, automation or analytics job.

Oversized seats or tiers

Plans, credits or seats above actual need.

AI add-ons without a baseline

Extra AI spend with no before/after value measure.

Renewals without an owner

Auto-renewing software nobody is explicitly accountable for.

Automation cost > value

Operating cost that exceeds time saved, capacity created or revenue protected.

Shadow AI tools

AI assistants and add-ons a team started using without going through the same approval or budget line as other software.

3. Before you ask finance to review this

Common questions before sharing a number upward.

What counts as "shadow AI" here?

Any AI tool or add-on paid for (personally expensed, on a team card, or bundled into another tool) that never went through the same review as your other software. Include it in the monthly figure above even if no one formally approved it — that is usually where the biggest surprise sits.

Is this just a subscription tracker?

No. It does not connect to your accounts, does not store what you enter, and does not claim to detect unused licenses automatically. It only turns a spend figure into a review-size decision, so you know whether the next step is worth taking.

Do I need procurement or IT before I use this?

No. Nothing here requires a login, an integration, or approval to try. It is meant to be the step you take before looping anyone else in, so you arrive at that conversation with a number instead of a guess.

What if the reducible amount comes out to $0?

That is a legitimate result, not a failure of the tool. The reducible share is your own scenario, not a promise — some stacks genuinely have little to trim once revenue-protecting or workflow-critical tools are set aside.

4. Take only the next step you need

The calculator should reduce uncertainty, not force a purchase.
